Total Cost Comparison
monday.com publishes a cheap seat and hides the tier a 250-person portfolio actually needs: Enterprise has no list price, and monday tells teams over 40 seats to request a quote. PPM Express is one flat published price for unlimited users, live in 15 business days — and your monday boards stay exactly where they are.
monday.com lists Basic at $9, Standard at $12 and Pro at $19 per seat per month billed annually. Pro is the lowest tier that is even arguably portfolio-capable, and at 250 seats that is $57,000 a year. But everything a portfolio deployment actually needs at that size — advanced multi-level permissions, enterprise security, and automation limits that survive contact with a real PMO — sits in Enterprise, which has no published price at all. monday also sells seats in blocks of five with a three-seat minimum, and directs anyone above 40 seats to request a quote.
monday.com is a genuinely good place for teams to run work — that’s not the argument, and we connect to it for exactly that reason. The argument is that its portfolio story is a per-seat upgrade with a metered ceiling and an unpublished top tier, so the price of governance is your headcount and your automation volume. PPM Express puts the portfolio layer above monday rather than inside it, at one flat price.
*monday.com list price for the Pro plan — $19 per seat per month billed annually — verified from monday.com on 3 September 2026. Figures are seats × $19 × 12. monday sells seats in blocks (minimum 3, then multiples of 5) and states that teams above 40 seats should request a quote, so these rows are list arithmetic rather than a guaranteed or quoted price. monday Enterprise, which carries the enterprise permissions, security and automation limits a 250-seat portfolio deployment needs, has no published rate and is not costed here. Excludes taxes, discounts, implementation, migration, integrations, add-ons and professional services.
At 250 seats, monday.com Pro lists at $57,000 a year against $25,000 flat for PPM Express, and break-even sits around 110 seats — below that monday is cheaper, and we’d rather you heard it here. But the real comparison isn’t $57,000 against $25,000. It’s a published number that doesn’t move against a sales conversation, because the tier you’d actually be sold has no list price at all.
Pro and Enterprise make monday a better work platform. They don’t make it a portfolio system: there is still no cross-project funding scenario, no portfolio-level capacity model built on real allocations, no executive status pack that writes itself. PPM Express reads your monday boards through a native connector and builds the portfolio layer on top — which is why your teams don’t have to move, and why nobody needs a seat to appear in it. The full capability comparison is on our PPM Express vs monday.com page.

What you’re leaving: a per-seat portfolio tier with metered automations and an unpublished ceiling.

What you’re switching to: live resource utilization across the whole portfolio — with unlimited users at no extra cost.
Executive dashboards and automated status reports, resource capacity planning, what-if scenario funding, AI access from Claude, ChatGPT, or Microsoft Copilot — included in one flat plan, with native connectors for monday.com, Jira, Azure DevOps, Planner, and Project so delivery teams keep working where they work.

This is the one switch that isn’t a migration. monday.com is a native PPM Express connector, so your teams keep their boards, their groups and their items exactly where they are — permanently, not just during a transition. What you stop paying for is the seat count and the tier upgrade bought to get portfolio reporting.
During your Deferred Billing period you run PPM Express alongside your current monday plan at no extra cost, confirm the portfolio layer does what the tier upgrade was being bought for, and then right-size your monday seats at renewal. The delivery teams who actually work in monday keep their seats; the executives, sponsors and finance partners who only needed to see the portfolio don’t need one at all.
These terms are identical for every qualified customer. Your procurement team can verify that no one got a better deal — because no one did. Try asking that of a quote-only vendor.
Within 15 business days of kickoff, your executive portfolio view is live: integrations connected, dashboard populated, first status report generated. We agree the checklist with you at kickoff, so “done” isn’t our opinion — it’s a list. Miss it, and you owe us nothing. Compare that with an implementation program measured in quarters.
Any time in the first 12 months: pro-rata refund of the unused months, and our engineers export all of your data in open formats, free. Not “here’s a CSV button, good luck” — assisted, complete, usable.
We can make the second promise because migration engineering is what this team did for a decade before building PPM Express. Moving portfolio data between systems is our core competency, in both directions. Vendors who make leaving impossible are telling you something about their product. So are we.
Connect read-only access — we populate a working PPM Express tenant with your actual monday.com boards. Evaluate the real thing, not a demo built to impress you.
No negotiation cycle, no procurement marathon — the terms above are the deal. Billing waits for your monday.com renewal date; access doesn’t.
Fixed-fee implementation against an agreed checklist. Run PPM Express alongside monday for as long as your deferral lasts — by the time the renewal quote arrives, you already know how many seats you still need.
The Switch — including Deferred Billing — is for organizations retiring an incumbent. Here that means dropping the monday.com plan tier or seat count you bought for portfolio reporting, within 12 months of signing. We’ll ask for a redacted renewal notice or invoice showing the vendor and end date; amounts can be blacked out. Your monday boards stay — it’s a connector, not a competitor. No incumbent contract at all? You don’t need the Switch, you need our standard published plans. The full terms, and switch offers for every other platform, are on the Switch page.
Deferred Billing, guarantees, migration and published pricing.
Because Pro is a work platform with reporting, not a portfolio system. What it doesn’t do is model capacity against real allocations across every project, run what-if funding scenarios, produce an executive status pack without someone building it, or roll Jira and Azure DevOps work into the same portfolio view alongside monday. Those are the things PMOs buy portfolio software for — and in monday, the closest answer is Enterprise, which has no published price.
For monday.com, nothing has to move — PPM Express has a native monday connector, so boards, groups, items, dates and assignments sync into the portfolio while your teams carry on working in monday. Where you also run Jira, Azure DevOps, Planner or Project schedules, those come into the same portfolio view. Migration engineering has been this team’s core work for over a decade.
You sign a 24-month agreement now at today’s locked price, and billing starts on your monday.com renewal date — up to 12 months out. Between signing and that date you have full PPM Express access at no charge, so you can run both and move at your own pace. In return, you commit to retiring the monday tier or seat count you bought for portfolio reporting within those 12 months — that commitment is what unlocks the Switch terms.
You pay nothing — the implementation fee and your first invoice are waived, and we return your data. The checklist is agreed in writing at kickoff, and the clock starts when we receive system access, so both sides know exactly what “day 15” means.
No — and that is the point. monday.com is one of our native connectors, so it stays as your teams’ delivery tool permanently, with PPM Express reading from it. What you stop paying for is the seats and tier upgrades bought so that people could see the portfolio. In PPM Express, an unlimited number of people can see it for the same flat price.
You tell us. We refund the unused months pro-rata and our engineers export your complete data set in open formats, at no cost, with assistance until it’s usable in whatever comes next. It’s in the agreement, not a blog post.
It’s true, so we published it: at 100 seats monday Pro is about $2,200 a year cheaper. Break-even is around 110 seats. Above that our flat price wins and keeps winning, and the gap grows every time you add a person. Below it, if 100 seats and Pro-tier automations genuinely cover your portfolio needs, monday may be the right answer — and you’d find that out in the free real-data trial rather than after signing.
The opposite — mid-term is exactly when Deferred Billing matters. Evaluate now with your real board data, sign at locked pricing, and let billing wait for your monday renewal date, which is also the moment you can right-size seats. Waiting until the renewal quarter is how organizations end up accepting an Enterprise quote under deadline pressure.
Yes — that’s the design. monday stays as the delivery tool and PPM Express sits above it as the portfolio layer, permanently. What rarely makes sense afterwards is paying for extra monday seats or a tier upgrade so that executives and sponsors can see reporting, since that capability is included flat in PPM Express for unlimited users. If your other incumbent is Microsoft Planner, the same logic and the same terms apply — see the switch terms for Planner Premium.
See your own monday.com boards in PPM Express this week. If the numbers and the product don’t make the case on their own, keep what you have — the trial tenant deletes itself and nobody calls you twice.
monday.com list prices as published on monday.com on 3 September 2026, billed annually: Basic $9, Standard $12, Pro $19 per seat per month.
